WhatRoom

Terms of Service

Last updated 7 October 2026

1. About these terms

WhatRoom is provided by White Room (M) Sdn Bhd ("White Room", "we", "us"). WhatRoom lets businesses connect their WhatsApp Business app number to their own systems, through Meta's WhatsApp Cloud API. In these terms, "you" means the business that uses WhatRoom. Anyone acting for that business must be authorised to do so.

By accepting these terms or using WhatRoom, you agree to them. If you have a signed agreement with White Room for WhatRoom, it takes precedence where it differs from these terms.

2. Who can use WhatRoom

WhatRoom is for businesses and other organisations, not for personal use. You must be able to agree to these terms for your business.

3. Your WhatsApp account and Meta

4. Acceptable use

You use WhatRoom only to message your own customers, and you:

You are responsible for the messages you send, the permissions needed to send them and the data your own systems hold. Our processing of personal data is described in our Privacy Policy.

5. Sign-in codes

Sign-in codes sent through WhatRoom also appear in the WhatsApp Business app on your business phone. Before enabling them, you must accept this in writing and restrict access to that phone to authorised staff.

6. Suspension and limits

We may pause sending where reasonably necessary to address a security incident, protect people or the service, respond to a breach of these terms or Meta's policies, or comply with a restriction on your Meta account. We'll explain the reason and the steps needed to restore service as soon as reasonably practicable. Sending resumes when the issue is resolved and the connection passes the required checks. Each number also has a daily sending limit set during setup.

7. Our service

We monitor WhatRoom, maintain its security and work to resolve service interruptions. We plan maintenance to minimise disruption and give advance notice where practicable. WhatRoom depends on Meta's WhatsApp Business Platform, so changes or outages at Meta can affect message delivery.

8. Disconnecting and ending

You can disconnect your number at any time in the WhatsApp Business app, under Settings > Account > Business Platform > Disconnect Account. Meta also disconnects a number after approximately 14 days of inactivity on the business phone. Disconnecting stops WhatRoom's access to the number. We delete connection data as described in our Privacy Policy.

You can stop using WhatRoom at any time by disconnecting your numbers and telling us. We may end the service for you with 30 days' notice, or at once for a serious breach of these terms or Meta's policies.

9. Limitation of liability

To the maximum extent permitted by law, White Room is not liable for any indirect, incidental, special or consequential damages, or any loss of profits or revenue, resulting from:

10. Governing law

These terms are governed by the laws of Malaysia. The courts of Malaysia have jurisdiction over any dispute about them.

11. Changes to these terms

We may update these terms from time to time. We'll post the new version on this page and change the "Last updated" date. If a change materially affects you, we'll email you at least 30 days before it takes effect.
